Before buying a new system, follow a few enquiries from arrival to a decision. Where does a reply stall? When are details forgotten? Which questions need a specialist?

Use simple stage names such as new, contacted, awaiting information and proposal sent. Avoid adding stages the team will not use. The essentials are who owns the enquiry, what happens next and when it should happen.

Choose the tool after defining the problem

A small team can start with an organized register and move to a CRM when assignment, tasks and reporting become harder to manage. A tool cannot replace a defined process. Collect only the fields you need, honour the customer's communication choices and limit access according to each role's needs.
